Your End of Year To-Do List

As we approach November, it’s time to dust off your end of year to-do lists. Here are 4 things to add.

  1. Prepare for your holiday sale:  Make sure to use the On Sale function in Ascend to set your sale prices. Also check to see that you have enough gift cards on hand and that your staff knows how to use them.
  2. Get ready to count everything:  Counting everything in your store is an expensive exercise.  When you get to counting day, you want to make sure it’s a productive exercise too.  Start planning and training now at our Inventory Training page.  If you want hands on training, sign-up for Inventory Fantasy Camp.
  3. Set your 2013 budget:  The budget feature in Ascend Analytics is an outstanding way to set targets for your staff and to keep you on pace to reach your goals.  It’s very simple to use as well.  Go to our Analytics Help Page for step-by-step instructions on creating a new financial budget.
  4. Inspect your hardware:  Take a look at all of your PC’s, bar code scanners, receipt printers and label printers.  Decide which ones are good for another year and which need to be replaced.  If you’re not sure they’re up to spec, check out our approved hardware page.

Version 2.3 Issues and Analytics Update

We’ve recently discovered two issues with Version 2.3 that you should be aware of.

Trekfest on sale not importing:

Dealers running Version 2.3 cannot import the Trekfest on sale using the Trek Sale Wizard (Desktop > Integration > Trek > Sale Wizard).  The problem is related to the attribute we added to the On Sale record that allows you to indicate if the sale is in-store only, eCommerce only or both.

In order to import the sale, you’ll need to run a query first.  For multi-location dealers, you just need to run it at one of your locations.  Then you can use the standard on sale download function for your other locations.  The query is available on the Downloads page at www.ascendrms.com.  If you need any further assistance with this, please contact the Ascend Support Team.

Inventory not reconciling

In Version 2.3, we’ve also discovered an issue with the Reconcile Inventory function (Desktop > Tools > Reconcile Inventory).  After reconciling the quantities for the file you imported, in-store products that had a quantity discrepancy are not being marked as reconciled.  An easy workaround to prevent this is to simply click and highlight a line in the grid before clicking the Reconcile button.  If you do, all in-store products in the file will be marked as reconciled.

We apologize for these issues.  Before any release goes out, it goes through extensive internal and external testing.  Unfortunately these issues made it past those screening processes.  In the next two weeks, we will be issuing an update to Version 2.3 to fix these issues.

Analytics Update

In my last blog, I mentioned that it’s been taking longer and longer for the previous day’s numbers to appear on Analytics. Our standard is to have Analytics updated every day by 7:00am Central Time, 8:00am Eastern Time. We have taken immediate steps to return to this standard. For the past week, this standard has been met every day.  We will continue to work on steps to make sure this standard is met in the future.

One step we’re taking is to set the Analyzer to compile data on demand.  We have been compiling Analyzer data for every dealer every night.  This adds a lot of time to the nightly process and has been a big contributor to the previous days’ data appearing late.  Now, when you click on the Analyzer button you will see a progress indicator showing the data being compiled.  Once it’s complete, click the Analyzer button again to view your data.  Once you’ve compiled the data for that day, it will not need to be compiled again.

Ascend Version 2.2 Preview

The next update to Ascend will be available this month.  We’re very excited about the new features in Version 2.2:

  • We’ve totally revamped the On Sale process in Ascend.  We’ve created a new screen for adding items to an On Sale.  Dealers with multiple locations will now have the ability to download On Sale records created at any of their other locations.  We are also showing your On Sale prices all over the application (Products Folder, In-Store Product Window, Select Products Window, etc.)

  • We’ve updated the Work Orders Due and Ready For Pick-Up screen.  You can now easily switch between the two views from the same screen.  We’ve added e-mail and phone number columns and each user has the ability to configure all the columns in the order they want them.  New features have also been added to the grid to allow you to search within the work orders listed and to group them by any column you specify.
  • We’ve added the ability to print Special Order receipts from the Vendor Order screen.  Ascend will print out transaction receipts that you can attach the items to help identify them.  When the customer comes in to pick up their special order, you can scan the receipt to open up their sale and finish it.
  • We’ve completed our e-mail integration.  Now, every place in Ascend where you can send e-mail messages uses our integrated service.  In addition to that, we’ve added the ability to create a custom auto-signature that will appear at the bottom of any message you send out.
  • We’ve updated our Chase Paymentech credit card integration.  The VeriFone PIN pads will now work on Windows 7 – 64 bit PC’s.
  • For our Trek Product Registration program we’ve added a confirmation message to appear at the bottom of your customers’ receipts.  It’s the same message they’d see if they register their bikes on the Trekbikes.com website.
