Your End of Year To-Do List

As we approach November, it’s time to dust off your end of year to-do lists. Here are 4 things to add.

  1. Prepare for your holiday sale:  Make sure to use the On Sale function in Ascend to set your sale prices. Also check to see that you have enough gift cards on hand and that your staff knows how to use them.
  2. Get ready to count everything:  Counting everything in your store is an expensive exercise.  When you get to counting day, you want to make sure it’s a productive exercise too.  Start planning and training now at our Inventory Training page.  If you want hands on training, sign-up for Inventory Fantasy Camp.
  3. Set your 2013 budget:  The budget feature in Ascend Analytics is an outstanding way to set targets for your staff and to keep you on pace to reach your goals.  It’s very simple to use as well.  Go to our Analytics Help Page for step-by-step instructions on creating a new financial budget.
  4. Inspect your hardware:  Take a look at all of your PC’s, bar code scanners, receipt printers and label printers.  Decide which ones are good for another year and which need to be replaced.  If you’re not sure they’re up to spec, check out our approved hardware page.

Chrome Is It!

With a nod to the old Coca-Cola campaign, I’m officially announcing that “Chrome Is It!”.  Google Chrome is the official web browser of Ascend Version 3.

Why only one browser?

My decisions regarding the development of Ascend are guided by the following principles:

  1. We will maximize the time we spend programming new features and improvements.
  2. We will deliver them to our customers as quickly as possible.
  3. We will deliver a quality product.

Supporting multiple web browsers works against these principles in several ways:

  • Extra time would have to be spent programming each new enhancement.  Our programmers would have to make sure every browser is accounted for.
  • We thoroughly test every new feature.  Our testers would have to repeat their tests in every browser we support.
  • We would likely have to spend additional time fixing bugs because of differences between browsers.
  • We create automated scripts to make sure that everything that was working fine before is still working after making changes (aka Regression Testing).  Our testers would have to create and maintain a set of scripts for each browser.

Why Chrome?

We chose Google Chrome as our official web browser for several reasons.

Version 2.5 Update:

Go Back to School at Inventory Fantasy Camp.

By now, all of us with school age kids have sent them back to school.  Now it’s your turn.

Last January, we hosted our first ever Inventory Fantasy Camps at the Trek Stores of Madison, Wisconsin.  Click here for a recap.  After the success of those camps, we’ve scheduled six more for this upcoming inventory season.  Each camp is a two-day hands-on training event where you will prep an actual store for end-of-year inventory, scan and count their inventory using MC1000 scanners and reconcile and clean up their inventory discrepancies.

Here are the camps to choose from:

  • Nov. 4-5, 6-7 or 8-9 at the Trek Stores of Columbus, Ohio.
  • December 4-5 at Shenandoah Bicycle Company in Harrisonburg, Virginia.  Harrisonburg is approximately 2 hours from Washington DC and Richmond, Virginia.
  • January:  Two camps at the Trek Stores of Madison, Wisconsin.  The dates for these are yet to be determined.

The cost is $600 per person.  It includes 3 nights hotel, transportation from the hotel to the inventory site, breakfast and lunch on both training days, and a post inventory celebration dinner on the second day.  After the camp you’ll also be eligible for discounts on renting MC1000′s to help with your own store’s inventory.

Ascend Inventory Fantasy Camp #1

Last week we hosted 11 bike shop employees from Arkansas, California, Georgia, Illinois, Iowa, Massachusetts, Michigan and New Brunswick, Canada for our first ever Ascend Inventory Fantasy Camp. Why on earth would they travel  from all over the country,  in January, to the frozen tundra of Wisconsin for an event dubiously named “Inventory Fantasy Camp”?

Accurate inventory is important

Your inventory is your most valuable business asset. You need the quantity on hand to be accurate so you can maximize your sales by having the products in stock your customers want. You need your inventory value to be accurate so you can properly guage your business’ health.

Maintaining accurate inventory is difficult

Counting every product in your store is a daunting task.  Bikes shops have thousands of products to count.  If you haven’t done it before, it’s hard to know where to start.

You learn best by doing

There’s no substitute for hands on experience.  Getting your hands dirty solidifies your knowledge of a process. And more often than not it takes away the mystery. What once seemed complex is now quite simple.

How it worked

There were two teams with 5 to 6 participants per group.  The first team was assigned the Trek Store of Madison West on Monday and Tuesday.   The second was assigned to the Madison East store on Wednesday and Thursday.   The morning of day 1 for both teams was spent in the classroom reviewing the full count inventory process.  In the afternoon they prepped their stores for inventory.  On Day 2 each team, with Ascend instructors by their side, counted the entire inventory of their respective stores.  This was not a test exercise.  It was  the planned annual count for both stores.  All team members got a chance to perform all the different roles involved in a full store count.  The end result:  all participants left energized and confident, ready to put the practices they learned in place at their shops.

The future of Inventory Fantasy Camp

All the participants told us this was worth their time and we should keep doing it for more dealers.  So that’s what we’re going to do.  We’re targeting 3 locations for next year’s inventory season; two in October and one in January.  We’re looking for dealers that can host.  To be considered as a host site, you must have well established and proven inventory practices.  In return for being a host site you’ll get a crew of people eager to count your stuff, MC1000′s to help count, an Ascend inventory expert on location, and breakfast and lunch on us.  This is a great way to help yourselves and other bike shops from around the country.  Think about it and contact us if you’re interested.

‘Tis the Season for Inventory

Before we talk about inventory, here’s another plug for Version 2.2.  It’s due out this week.  Register for a webinar to get a detailed overview of the new features.  Check out Dexter for the details.  If you can’t make it, watch the recording.  If you’re already on Version 2 this will be a simple upgrade.  When you see the update reminder, click on Internet Update and follow the instructions.  If you’re still on Version 1 and haven’t yet joined the nearly 600 locations on V2, now is the time.  Contact the Support Team at help@ascendrms.com for our complete “Version 1 to Version 2 Upgrade Guide”.

And now, let’s talk about inventory.  For many of you, the approach of winter means you’ll soon be taking a full count of your store inventory.

 This is an important and valuable project for your business. To make sure it goes well, start preparing several weeks in advance.  Don’t wait until the night before your inventory (or morning of!) to get ready.  Use our training resources to help you prepare, . On the training front, we’re trying something new this year that I’m very excited about.  Jackie Schoenholtz, our Training Coordinator, came up with the great idea of hosting “Inventory Fantasy Camp” next month at our two Trek Stores in Madison, Wisconsin.  They’re already sold out.  Campers will come for two days.  The morning of Day 1 will be spent in the classroom.  In the afternoon the campers will go to one of the stores to prep it for inventory.  On Day 2 they’ll go back to the store to complete an actual full count of all their inventory.  I’m sure many of you are thinking that taking inventory in January in Wisconsin is a far cry from any your personal fantasies.  Fair enough.  But we really believe this is going to be a great experience for everyone.  We want to have more camps next year.  If you’re interested in being a host site, let us know.

On the new features front, we just added five new inventory adjustment types to help better track your inventory. They are Owner’s Draw, Rental, Sales/Display Use, Shrink and Sponsorship.  They are available to our Beta Dealer Team now and will be available to everyone in Version 2.3 due out in March 2012.  If you’re interested in being a beta dealer, let us know.  If that doesn’t interest you, we also have our Early Release Group that will get to update to the new features in February.

One final note, the ability to view availability at QBP’s new Pennsylvania warehouse is in beta now.   It will be available to all dealers in Version 2.3 in March.
